Solstice Studio Terms & Conditions

By reserving or using Solstice Studio ("Studio"), the renter ("Guest") agrees to the following Terms & Conditions.

Reservations & Payment

All reservations must be paid in full at the time of booking unless otherwise agreed upon in writing.

Reservation time begins and ends at the times listed in the booking confirmation. Rental time includes setup, breakdown, and cleanup.

The Studio must be vacated by the end of the reservation period.

Additional time beyond the reservation period may be billed at the current studio rate and is subject to availability.

Cancellation & Rescheduling policy

All studio rental payments are non-refundable. Reservations cannot be canceled.

If you are unable to use your reservation, you may reschedule it at no additional charge, provided your request is submitted at least 72 hours before your scheduled reservation start time and your new date is available.

There is no limit to the number of reschedules, as long as each request is made at least 72 hours in advance.

Reschedule requests made within 72 hours of the scheduled reservation start time are not permitted. Failure to use your reservation or a no-show will result in forfeiture of the reservation without refund or future rescheduling.

Studio Use

The Studio may only be used for lawful purposes.

Maximum occupancy is 22 persons, including photographers, clients, vendors, children, and guests.

Guests are responsible for the conduct and actions of everyone attending under their reservation.

Furniture, Props & Installations

Furniture and props may be moved within the Studio but must be returned to their original location before departure.

Please do not drag furniture across floors.

Specialty installations, seasonal sets, and studio décor may not be climbed, altered, hung from, pulled on, or modified.

Food & Beverage Policy

Outside food and beverages are permitted.

The Studio does not provide a kitchen, sink, refrigerator, microwave, oven, or cooking equipment. Food must be prepared off-site and brought in ready to serve.

Guests are responsible for removing all food, beverages, and trash before the end of their reservation.

Alcohol

If alcohol is present, the Guest is solely responsible for ensuring compliance with all applicable laws and Texas Alcoholic Beverage Commission (TABC) regulations.

Solstice Studio does not sell, serve, provide, or distribute alcohol.

No alcohol may be served to minors or visibly intoxicated individuals.

Pets

Pets are welcome with prior approval.

A flat $30 pet fee covers up to 3 pets per reservation.

Pet owners are responsible for cleanup and any damages caused by their pets.

Existing Damage Reporting

Guests should inspect the Studio upon arrival.

Any existing damage, maintenance concerns, or cleanliness issues must be reported within 15 minutes of the reservation start time.

Failure to report existing damage may result in the Guest being held responsible for damages discovered after the reservation.

Damages & Cleaning

Guests are responsible for any damage caused by themselves, their guests, vendors, children, or pets.

Guests agree to notify Solstice Studio immediately of any spills, damage, or maintenance concerns.

The Studio must be left in substantially the same condition in which it was received.

Additional cleaning, repair, replacement, or overtime fees may be charged to the payment method on file.

Prohibited Activities

The following are prohibited unless approved in writing:

  • Smoking or vaping

  • Glitter or confetti, unless prior written approval has been obtained from Solstice Studio.

  • Smoke bombs

  • Sparklers

  • Candles or open flames

  • Illegal activity

  • Excessive noise

  • Standing on furniture

  • Shoes on upholstered furniture

Photography & Model Releases

Guests are solely responsible for obtaining any permits, permissions, releases, or consents required for their activities, including parental consent for minors.

Personal Property

Solstice Studio is not responsible for lost, stolen, or damaged property.

Items left behind may be held for up to 7 days. Unclaimed items may be discarded, donated, or otherwise disposed of at the Studio's discretion.

Force Majeure

Solstice Studio shall not be liable for cancellations, interruptions, or delays caused by circumstances beyond its reasonable control, including severe weather, power outages, natural disasters, building emergencies, government restrictions, or other unforeseen events.

Limitation of Liability

Guests use the Studio at their own risk.

To the fullest extent permitted by law, Solstice Studio, its owners, employees, contractors, and representatives shall not be liable for any injury, loss, theft, damage, business interruption, or consequential damages arising from the use of the Studio.

Indemnification

Guests agree to indemnify and hold harmless Solstice Studio, its owners, employees, contractors, and representatives from any claims, damages, liabilities, expenses, or losses arising from the Guest's use of the Studio or the actions of their guests, vendors, children, or pets.

Right to Refuse Service

Solstice Studio reserves the right to refuse or terminate a reservation without refund if Studio policies are violated, occupancy limits are exceeded, illegal activities occur, or unsafe conditions are created.

Governing Law

These Terms & Conditions shall be governed by the laws of the State of Texas.

Acceptance

By completing a reservation, the Guest acknowledges that they have read, understood, and agreed to these Terms & Conditions.
